What is ImportHQ?

ImportHQ is production and purchase order tracking for small importers, built for the stretch between placing an order and getting it on a ship. That period usually lives in a spreadsheet, a WhatsApp thread and someone's memory, which is how a sample sits unapproved for three weeks and nobody notices until the ex-factory date has already gone.

Every purchase order is tracked against milestone columns you define yourself. Rename them, reorder them, remove the ones that do not apply, or create entirely new ones, so the tracker follows how your product is actually made rather than forcing you into a fixed workflow. You also choose which milestone acts as the gate, which is the one the risk logic watches, so an order is flagged as at risk on the step that genuinely matters for your category. The setup is saved to your account, so it follows you between devices and stays consistent for everyone on your team.

Orders that slip are flagged automatically against their ex-factory date, so the ones in trouble surface on their own instead of waiting to be noticed. Every order also lands on a shared ex-factory calendar, which makes a crowded week or a clash between two suppliers obvious while there is still time to move something.

Suppliers get a scorecard built from your own order history rather than impressions: on-time delivery rate, how often samples come back rejected, and the lead times they really deliver as opposed to the ones they quote. Invoices, packing lists and inspection reports attach to the purchase order they belong to, so the paperwork sits with the order instead of in an inbox, and any order can be exported as a PDF on its own or in a batch.

ImportHQ runs in the browser on desktop, tablet and phone, with no installation. It can be added to a phone or tablet home screen and opened like an app. Supplier currency and working currency are set independently with live exchange rates, so it works the same whether you buy in USD and sell in GBP, EUR, AUD or anything else.

There is a free plan with no credit card required, which includes up to three purchase orders so you can run a real order through it before deciding. Pro removes the limit and adds document storage, PDF export, the supplier scorecard and planning tools, with extra team members available per seat.
